Terms of Service

Effective October 6, 2026

The short version

  • MendTag is a tool for service businesses. By creating an account you agree to these terms on behalf of your company.
  • Your data is yours. We store and process it only to run MendTag for you, and we never sell it.
  • Drafts, transcripts and data-plate readings are produced automatically and can be wrong. You review them before they are saved or sent, and you are responsible for what you send your customers.
  • You can stop using MendTag at any time and ask us to delete your data.

This summary is for convenience. The full text below is what applies.

MendTag is operated by CloudMind Prints LLC (“MendTag,” “we,” “us,” or “our”). These Terms of Service (the “Terms”) govern your access to and use of the MendTag website, application and related services (the “Service”).

1. Agreeing to these Terms

By creating an account or using the Service, you agree to these Terms and acknowledge our Privacy Policy. If you do not agree, do not use the Service.

The Service is intended for businesses. If you use it on behalf of a company or other organization, you confirm that you have authority to bind that organization to these Terms, and “you” refers to both you and that organization. You must be at least 18 years old to use the Service.

2. The Service

MendTag helps equipment service and repair businesses record their work: customers, service locations, equipment, service jobs and the reports sent to customers. It includes optional features that use automated processing, including voice transcription, report drafting, reading equipment data plates and scanning barcodes and QR codes.

3. Accounts

  • You must give accurate information when creating an account and keep it up to date.
  • You are responsible for keeping your sign-in details secure and for everything done through your account, including by people in your organization.
  • Tell us promptly at support@mendtag.com if you believe your account has been accessed without permission.

4. Your data

You own your data. “Your Data” means everything you or your users put into the Service, including information about your customers, their locations and equipment, notes, photographs, voice recordings, signatures and reports.

You give us permission to store, process, copy and transmit Your Data only as needed to provide, secure and support the Service for you, including by using the service providers listed in our Privacy Policy. We do not sell Your Data, and we do not use it for advertising.

Much of Your Data will be about your own customers. You are responsible for having the right to collect that information and to put it into the Service, and for giving your customers any notices, or obtaining any consents, that the law requires. When we process your customers’ information, we do so on your behalf and according to your instructions.

Getting a copy. While your organization’s account is open you can read your service history in the Service and download any report it has issued. You can also ask us for a copy of Your Data by emailing support@mendtag.com, and we will send it to the account owner in a commonly used, machine-readable format, normally within 30 days. There is no charge for this, it does not depend on which plan you are on, and it is not affected by a payment having failed.

5. Automated features and their limits

Some features produce content automatically: transcripts of voice notes, drafts of report sections, and values read from equipment data plates. This content can be incomplete or wrong. It may misunderstand what was said, miss or misread characters, or state something with more confidence than it deserves.

For that reason the Service shows you this content for review before it is saved, and you should read it carefully every time. You are responsible for checking the accuracy of anything you save, finalize or send, including every report sent to your customers. We do not guarantee that automatically produced content is accurate, and it is not professional, technical or safety advice.

6. Scanned codes and other websites

When you scan a barcode or QR code placed on equipment by its manufacturer or anyone else, the Service reports what the code contains. If it contains a web address, we show you the destination before you choose to open it. Those websites, and any search results you open from the Service, are operated by third parties. We do not control them, verify them, or take responsibility for their content, and a code on a piece of equipment may not have been placed there by its manufacturer.

7. Acceptable use

You agree not to:

  • use the Service for anything unlawful, or to store content you have no right to store;
  • try to access another organization’s data, or any part of the Service you are not authorized to use;
  • interfere with, disrupt, overload or attempt to break the security of the Service;
  • upload malicious code, or reverse engineer the Service except where the law expressly permits it;
  • use the Service to send unsolicited or deceptive messages; or
  • resell or provide the Service to others without our written permission.

8. Fees and subscriptions

Plans

MendTag has a free plan and paid plans. What each one includes is shown on our pricing page and inside the Service, and those figures come from the same place the Service itself reads, so what you are told is what you get. We will give you reasonable notice before we begin charging for something you are already using without charge.

Paying

Prices are shown before you buy, and you confirm the amount before anything is charged. Payment is taken by our payment provider on its own page; we never receive your card number. Prices exclude any taxes that apply where you are, which are added at checkout where required.

If it is not for you

If you are not happy with a paid plan, tell us within 30 days of your first payment for that plan and we will refund it in full. Email support@mendtag.com and say you want the refund; you do not have to explain why, and we will not ask you to complete anything first. The refund goes back to the card you paid with, through our payment provider, and your organization moves to the free plan. Nothing you have recorded is deleted.

This covers the first payment on a plan, monthly or yearly. It is not a rolling right to refund every renewal, and it does not apply again if you later return to a plan you have already been refunded for. If something has gone wrong with a later payment, email us anyway — this paragraph is a floor, not a ceiling.

Renewal

A paid subscription renews automatically — monthly or yearly, whichever you chose — until you cancel it. Each renewal is charged to the card on file at the price then in effect. If we change the price of a plan you are on, we will tell you before the change applies to you, and you will always have the chance to cancel first.

Cancelling

You can cancel at any time from your billing settings, without contacting us and without giving a reason. Cancelling stops the next charge; it does not cut you off on the spot. You keep the plan you have paid for until the end of the period you paid for, and then move to the free plan. We do not refund the remainder of a period you have already paid for, except where the law requires it.

Changing plan

Moving to a larger plan takes effect immediately, and you are charged the difference for the rest of the current period. Moving to a smaller one takes effect at the end of the period you have already paid for, so you keep what you paid for until it runs out.

If a payment fails

We do not lock you out the moment a card is declined. Your plan keeps working for seven days while you sort the card out, and we will tell you inside the Service that a payment needs attention. If it is still unpaid after that, the company moves to the free plan. Nothing you have recorded is deleted because of a missed payment — your jobs, reports and history remain, and are exportable as described in section 4.

If a payment is disputed

If a payment for your subscription is disputed with the card issuer, the features that cost us money to provide — writing reports for you, transcribing voice notes, reading data plates and emailing reports — are paused while the dispute is reviewed. Everything you have already recorded stays exactly where it is: your jobs, equipment, customers and issued reports remain available to you throughout, and nothing is deleted because of a dispute.

If the dispute is resolved in our favour and your subscription is still valid, those features come back. If the payment is reversed, the account moves to the free plan, and your records still remain. Repeated or abusive disputes may lead us to decline future paid subscriptions, which is a decision a person makes and not an automatic one.

Seats

Plans that cover more than one person are sold by the seat, and the number of seats is shown with the plan. Someone you suspend stops using a seat while their history stays on the work they did.

9. Changes to the Service

We are continuing to develop MendTag, and we may add, change or remove features. We aim to keep the Service available but do not promise that it will be uninterrupted or error free. Keep your own copies of anything you cannot afford to lose; you can download reports from the Service at any time.

10. Ending your use

You can stop using the Service at any time. The account owner can close your organization’s account from Settings, which permanently deletes Your Data immediately; it cannot be undone. You can also ask us to close it by emailing support@mendtag.com. Our Privacy Policy explains what is deleted and when. Download any reports you want to keep before closing your account.

We may suspend or end your access if you seriously or repeatedly break these Terms, if your use puts the Service or other customers at risk, or if the law requires it. Where it is reasonable to do so, we will tell you first and give you a chance to fix the problem.

11. Disclaimers

Apart from the commitments we make in these Terms, the Service is provided “as is” and “as available.” To the fullest extent the law allows, we disclaim all other warranties, express or implied, including warranties of merchantability, fitness for a particular purpose and non-infringement.

12. Limitation of liability

To the fullest extent the law allows, neither party will be liable to the other for any indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue or data, arising out of these Terms or the Service.

To the fullest extent the law allows, our total liability arising out of these Terms or the Service will not exceed the greater of the amount you paid us for the Service in the 12 months before the claim arose, or one hundred US dollars (US$100).

Nothing in these Terms limits liability that cannot be limited by law.

13. Indemnity

You agree to defend and indemnify CloudMind Prints LLC against claims brought by third parties, including your customers, that arise from Your Data, from your use of the Service in breach of these Terms, or from your breach of the law.

14. Changes to these Terms

We may update these Terms. When we do, we will change the effective date at the top of this page, and if a change is significant we will tell you by email or in the Service before it takes effect. If you keep using the Service after a change takes effect, you accept the updated Terms.

15. Governing law

These Terms are governed by the laws of the State of New Jersey, without regard to its conflict of laws rules. Any dispute arising out of these Terms or the Service will be brought only in the state or federal courts located in New Jersey, and both parties consent to their jurisdiction.

16. General

These Terms, together with the Privacy Policy, are the entire agreement between you and us about the Service. If any part is found unenforceable, the rest continues to apply. Not enforcing a provision is not a waiver of it. You may not transfer these Terms without our consent; we may transfer them as part of a merger, acquisition or sale of our business.
